Sales and Shipping Clerk
Sales :
- To establish strong relationship with prospects & existing customers.
- To maintain good level of sales activities in line with management requirement.
- Coordinate with the production, logistics and finance departments to ensure timely and accurate delivery of orders.
Shipping :
- Communicate with customers and shippers and resolve any complaints.
- Prepare shipping quotes for customers.
- Negotiate shipping fees with couriers.
- Keep a meticulous record of shipment information.
Sales Responsibilities:
Customer Service:
Respond to customer inquiries via phone, email, or in person.
Provide product information, availability, pricing, and other sales-related information.
Assist in processing customer orders, ensuring accuracy and timely delivery.
Order Processing:
Take customer orders, whether through the phone, email, or in person, and input them into the system.
Verify that all orders are correctly documented, ensuring prices, quantities, and customer details are accurate.
Inventory Management:
Monitor stock levels and communicate with inventory or warehouse staff to ensure products are in stock.
Assist in maintaining sales records, ensuring all transactions are recorded.
Sales Documentation:
Prepare and maintain sales invoices, receipts, and other related documentation.
Process returns, exchanges, or refunds as necessary, and ensure proper documentation for these transactions.
Sales Support:
Support the sales team by providing necessary information and updates on customer orders.
Help process quotations, pricing information, and promotional offers.
Shipping Responsibilities:
Order Fulfillment:
Prepare and package orders for shipment, ensuring products are securely packed and labeled.
Coordinate with shipping carriers to schedule pickups and deliveries.
Shipping Documentation:
Generate shipping labels, invoices, and other necessary shipping paperwork.
Track shipments and handle customer inquiries related to shipping status.
Inventory Management (Shipping Focused):
Ensure proper storage and organization of products in the warehouse or storage area.
Update inventory records to reflect shipped items.
Coordination with Warehouse and Logistics Teams:
Collaborate with warehouse personnel to ensure products are picked, packed, and shipped on time.
Ensure that all outgoing shipments comply with company policies and shipping standards.
Returns Handling:
Process returns, ensuring that the returned items are properly recorded, inspected, and restocked when applicable.
Handle customer issues related to shipping, such as damaged or lost goods.
General Responsibilities:
Data Entry: Accurately input customer information, sales, and shipping data into the company’s system.Problem Solving: Address any issues related to customer orders, delivery problems, or inventory discrepancies.
Communication: Maintain clear communication between sales, shipping, and other relevant departments.
