Job Requirements:
- Bachelor’s degree in Human Resources Management, Business Administration, or a related field.
- At least 3 to 5 years of HR experience, specifically in recruitment and HR generalist role.
- Proficiency in Microsoft Office (MS Word, Excel, PowerPoint, Outlook, and Teams)
- Familiarity with HR-related laws and regulations, particularly regarding employment contracts, compensations and benefits.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Attention to detail, well-organized, and capable of prioritizing tasks effectively in a fast-paced or start-up environment.
- Ability to work independently.
- Proficient in both written and verbal communication in English, Bahasa Malaysia, and Mandarin, which is crucial for effective HR operations in a multilingual environment.
- Possess own transportation.
Job Summary:
We are seeking a dynamic, highly motivated and enthusiastic individual to join our rapidly growing company to manage various aspects of human resources management, including leading the HR initiatives, recruitment, employee benefits, performance management, and managing the daily HR operations.This role must ensure the accuracy, compliance, and efficiency in all HR related tasks, consistently delivering comprehensive services to support our business objectives.
Job Responsibilities:
- Recruitment: Manage the recruitment and selection process, which includes conducting market research on salaries and relevant job portals, advertising job openings, sourcing resumes from appropriate channels and social media platforms, screening and selecting candidates, coordinating interview arrangements with hiring managers, conducting candidate reference checks, and preparing employment contracts.
- Onboarding and Offboarding: Facilitate the onboarding and offboarding processes for employees, including managing staff movement updates with relevant documentations for internal (HR and IT) and external (statutory) channels, ensuring a smooth and efficient hiring and exit process.
- Talent Management: Develop and implement employee benefits programs, engagement activities, training and development initiatives, performance management, and career development programs. Collaborate closely with all heads of departments to understand workforce needs and drive HR initiatives.
- Performance Management: Oversee the entire Performance Management System cycle, ensuring effective management of the performance evaluation process across all positions through regular assessments and accurate feedback. Provide guidance on development plans, as well as employee compensation and benefits packages.
- Employee Records: Maintain accurate and up-to-date employee records, contracts, and HR documentation. Analyse and generate management reports, providing insights to senior management to support decision-making. Issue HR correspondence letters to employees in compliance with HR policies and practices, ensuring accuracy and adherence to relevant regulations.
- Policy Management and Strategic HR Planning: Assist in developing and implementing HR strategies that align with the company’s overall business objectives.
- Statutory Compliance: Stay informed about changes in labor legislation (i.e., the Employment Act, Income Tax, EPF, SOCSO, EIS, HRDC, and other relevant laws) and ensure compliance.
- Employee Relations: Manage employee relations issues, handle grievances, provide guidance on disciplinary actions, and foster a positive work environment.
- Office Administration: Maintain the efficiency and functionality of the workplace by effectively monitoring office inventory control, coordinating with external vendors for office supplies, cleaning services, and maintenance, implementing cost control measures, tracking expenditures, and identifying opportunities for savings. Contribute to overall budget management of the office while ensuring a conducive work environment.
- Miscellaneous: Support daily HR operations and respond promptly to employee inquiries in accordance with HR policies and procedures. Perform any other ad hoc duties or HR projects assigned by the Head of Department.
